Due to our current staff capacity, we cannot accept private event rental requests at this time. Public events hosted by organizations with established protocols for Covid and the capacity to implement them are still welcome to use the NKCDC Garden space. Please reach out to discuss your event and reserve the date as far in advance as possible. We are not able to accommodate events without at least three weeks lead time.

Covid Protocols for NKCDC Garden Rentals

Below are highlights from the City of Philadelphia’s Covid protocols for outdoor events. These guidelines will be enforced for NKCDC Garden rentals for as long as it is deemed necessary by the Department of Public Health. The complete recommendations can be found on the Department of Public Health’s website as Outdoor performance and event guidance.

Key points from these guidelines are:

  • Mask use (except while eating or drinking)
  • Screening for all guests for symptoms of Covid-19. (NKCDC has created a Health Screening Form for this process, which asks for a guest’s name, contact information, and symptom checklist. Temperature taking will NOT be required. All completed forms will be kept on record by NKCDC in a secure file until they may be destroyed.)
  • Social Distancing (The Wedding Guidance contains specifics on the ceremony, such as recessionals, dancing, and live music.)
  • Reducing Crowds:

– Food and beverages may be consumed if no more than 100 attendees are present.

– Do not serve food or drinks to standing guests. Guests must be seated at tables in order to eat or drink. Drinks may only be served at events where meals are also being served.

– Non-seated events Max Occupancy—guidelines say 67 people per 1,000 square foot for outdoor events. The NKCDC Garden is approximately 7,770 square feet, so we can accommodate 515 people at most.

– Seated events Max Occupancy—guidelines say 15% of maximum occupancy: 15% of 515 is 77 people maximum.

There are specific requirements for catered events (seated, with food), and separate guidance for weddings.

    I have read and understand the complete City guidelines applicable to my rental, and affirm I and my party will adhere to these restrictions for the duration of the event. I will not hold NKCDC responsible for any COVID-related illness that should occur as a result of this event.

    The undersigned hereby makes application to NKCDC for use of the Garden located at 1825 Frankford Avenue, Philadelphia, and certifies that the information in the application is correct. The undersigned agrees to exercise the utmost care in the use of the Garden, the surrounding property, and to hold NKCDC, its officers, employees and agents, harmless from all damages, liabilities, injuries, or losses to persons, or property resulting from the use of facilities. The applicant agrees to adhere to all rules and regulations on this form and in the rental guidelines. NKCDC's Garden space is available for rent for both public and private events at the following rate:
    • Private Events: $200 half day (under 6 hours) / $300 full day
    • Public Events: $150 half day (under 6 hours) / $250 full day
    • Local Community Group Discount: $125 half day / $200 full day
    Please complete the form and a representative of NKCDC will be in touch with you to confirm that your requested date is available. To secure your date, NKCDC asks for a completed rental form and a damage deposit of $200. In addition to the damage deposit and rental fee, NKCDC asks all applicants to provide proof of insurance as detailed in the form below. Additional fees for special equipment or additional NKCDC staff time may apply for larger events or events that include alcohol, youth, or live performances as noted in the form below. All glass containers are prohibited in the space.

  • Cleaning Procedures

    The renting organization is responsible to clean and leave the premises in the same condition as when it arrived. Trash is to be emptied from the bathroom as well as the rest of the event space and the bathroom returned to its intial condition. All cleaning must be done immediately after the event. The cost of any cleaning or repairs required by NKCDC will be charged to the organization/applicant. Applicant should expect to bring trash bags & cleaning supplies with them (toilet paper, hand soap, and paper towels will be provided for bathroom use) as well as any misc event supplies such as tape, markers, signage for the event, fasteners, or other odds & ends. The renting organization is also responsible for set up and breakdown of the event, please factor this into your planning times.

  • Insurance Requirements

    In any case, the organization/applicant must provide a Certificate of Insurance evidencing the required insurance before using the Garden Center.

    For organizations and businesses, Commercial General Liability Insurance written on an occurrence basis with limits no less than $1,000,000 combined single limit per occurrence and $2,000,000 aggregate for personal injury, bodily injury, and property damage suffices. Coverage shall include, but not be limited to blanket contractual; products/completed operations; broad form property damage; explosion, collapes, and underground (XCU) if applicable; and employer's liability.

    If the applicant does not have General Liability Insurance, they must obtain special event insurance coverage through their insurance carrier. This can be secured online (google special event or wedding insurance) and some providers quote as low as $66 for coverage. Progressive Insurance has quoted event insurance at $125 with host alcohol coverage (BYOB) or $260 with retail alcohol coverage.

    If liquor is consumed, the organization/applicant shall procure and maintain for the duration of the agreement Liquor Liability insurance in the amount of $1,000,000 each occurrence. NKCDC is to be named as an additional insured on the Liquor Liability insurance. Host liquor liability coverage may be substituted when alcohol is consumed and not sold on premises only with prior written approval of NKCDC. NKCDC requires the use of wristbands at events where alcohol will be present (NKCDC will provide wristbands but it is applicant's responsibility to check IDs) and a general alcohol management plan. Glass bottles, illegal drugs, and weapons are strictly forbidden.

  • In addition to the space and bathroom, NKCDC also provides some event supplies to make your event a success. NKCDC has 10 small green circular tables and 20 accompanying chairs. We also have approximately ten 6ft folding tables and 40 additional folding chairs available for use. These are included in your rental fee. Other equipment listed below is available for additional fee.

  • After-hours emergency procedure
